Welcome to AssistBee ("we," "our," or "us"). We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our interview assistance application and services.
2. Information We Collect
2.1 Personal Information
We collect information that you provide directly to us, including:
- Email address
- Name (if provided through Google Sign-In)
- Profile picture (if provided through Google Sign-In)
- Account credentials
- Payment information (processed securely through third-party payment processors)
2.2 Usage Information
When you use AssistBee, we automatically collect certain information, including:
- Device information (operating system, device type)
- Usage data (API calls, features used, timestamps)
- Audio data (processed in real-time for speech-to-text, not stored)
- Screenshots (processed for AI analysis, not stored permanently)
2.3 Third-Party Authentication
When you sign in using Google, we receive your email address, name, and profile picture from Google. We do not have access to your Google password.
3. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Process your authentication and account management
- Provide AI-powered interview assistance
- Process speech-to-text transcription
- Manage your subscription and billing
- Send you technical notices and support messages
- Monitor usage to enforce plan limits (free vs. pro)
- Detect and prevent fraud or abuse
4. Data Processing and Storage
Audio Data: Audio captured for speech-to-text is processed in real-time using Azure Speech Services and is not stored on our servers. Transcripts are temporarily held in memory during your session.
Screenshots: Screenshots are processed by Azure OpenAI for context analysis and are not permanently stored.
Account Data: Your email, authentication tokens, and subscription information are stored securely in our PostgreSQL database hosted on secure cloud infrastructure.
5. Third-Party Services
We use the following third-party services:
- Azure Speech Services: For speech-to-text transcription
- Azure OpenAI: For AI-powered response generation
- Google Identity Services: For Google Sign-In authentication
- Razorpay: Our PCI-DSS compliant payment processor. When you make a payment, your card, UPI, netbanking, or wallet details are collected and processed directly by Razorpay on its own servers. We never see, receive, or store full payment instrument details. Razorpay shares with us a transaction identifier, payment status, amount, method (e.g., "UPI", "card"), and, for subscriptions, a subscription identifier, which we store solely to manage your plan and billing history. Razorpay's handling of your data is governed by the Razorpay Privacy Policy.
- Supabase (PostgreSQL hosting): Hosts our account and billing database.
- Microsoft Azure: Hosts our backend API and AI infrastructure.
These third parties have their own privacy policies governing the use of your information. We select vendors that meet accepted industry security standards, but we are not responsible for their independent practices.
5a. Payment & Billing Records
For every paid transaction, we retain a record of: the transaction amount and currency, the Razorpay order or subscription identifier, the payment status (initiated / success / failed), the associated plan, the date and time, your account email, and the IP address from which the purchase was made. In the event of a chargeback, refund request, or payment dispute, we may submit this information, together with service usage logs (login timestamps, AI request counts, feature usage), to Razorpay, your card issuer, the relevant payment network, a bank, a regulatory authority, or a court as necessary to defend the legitimacy of the transaction. Retention of these records is required for tax, accounting, anti-fraud, and dispute-defense purposes for at least eight (8) years from the transaction date, in accordance with Indian tax and company-law requirements.
6. Data Security
We implement industry-standard security measures to protect your information, including:
- Encrypted data transmission (HTTPS/TLS)
- Secure token-based authentication (JWT)
- Ephemeral tokens for API access (short-lived, automatically expiring)
- Password hashing using bcrypt
- Regular security updates and monitoring
However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
7. Data Retention
We retain your account information for as long as your account is active or as needed to provide you services. Audio and screenshot data are processed in real-time and not retained. If you wish to delete your account, please contact us at support@assistbee.app. Note that payment and billing records (Section 5a) are retained for at least eight (8) years after the transaction date as required by Indian tax, accounting, and dispute-defense obligations, even after you delete the rest of your account. Cancellation feedback you submit may also be retained in anonymised form for product-improvement analytics.
8. Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and associated data
- Opt-out of marketing communications
- Withdraw consent for data processing
9. Children's Privacy
AssistBee is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately.
10. International Data Transfers
Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place to protect your information in accordance with this Privacy Policy.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. Your continued use of AssistBee after any changes indicates your acceptance of the updated policy.
